How Utah State University puts content intelligence into practice

We’re already seeing the massive impact of combining Box’s intelligent content capabilities with ServiceNow's robust operational platform. 

Box customer Utah State University faced the monumental task of coordinating financial documentation and approval workflows across dozens of campuses statewide. By establishing Box as their “sole source” of file storage and bridging it directly with ServiceNow, the university has created a highly complementary technology stack. Unstructured content like files, documents, and collaborative materials moves effortlessly between the two platforms, creating a seamless workflow where processes begin in ServiceNow, transition to Box for file handling, and return enriched data back to ServiceNow.

The university is continuing to expand this setup through ServiceNow’s Workflow Data Fabric, connecting Box content directly into workflows via External Content Connectors and Integration Hub spokes. This makes unstructured content from Box completely accessible across the Now Platform without moving or duplicating data. Looking ahead, USU is exploring ways to use Box to pull critical metadata from documents and transfer that structured information straight into ServiceNow via APIs, effectively closing the loop between unstructured content and the processes that depend on it.

The ServiceNow MCP Registry

As enterprise organizations deploy autonomous AI agents at scale, maintaining oversight across dozens of external services can create a massive governance gap. To address this challenge, ServiceNow launched its private enterprise MCP Registry earlier this year, and Box is proud to be an early launch partner. 

Operating as a trusted internal catalog of approved MCP servers governed through the ServiceNow AI Control Tower, the registry will ensure that AI agents can discover and connect exclusively to pre-vetted, secure tools and data estates.

With the Box MCP server coming soon to the ServiceNow registry, enterprise developers will be able to securely connect any custom agent built within the ServiceNow AI Agent Studio straight to Box content. This unified architecture helps customers securely connect Box content into ServiceNow AI workflows, providing total peace of mind that AI-generated insights always respect your strict enterprise-grade security and governance.

Classification labels in Box AI Agents

When we first introduced the Box Data Extraction and Box Content Insights Agents within ServiceNow Now Assist, we transformed how teams interact with enterprise files using natural language. Today, we’re layering advanced safety guardrails directly on top of those content interactions with native classification label detection.

Box and ServiceNow

While Box AI Agents already allow users to prompt Now Assist to synthesize reports, analyze legal clauses, or extract key operational milestones from multiple documents simultaneously, they can also actively read and recognize Box security and classification labels (such as ConfidentialInternal Use Only, or Restricted) before processing any information. 

If a user asks Now Assist to pull data or summarize a highly sensitive file, the Box AI Agent instantly detects the restriction, checks the file’s confidentiality status, and halts the process to confirm if the user wants to proceed. This compliance check ensures that autonomous AI workflows strictly respect your organization’s existing ethical walls and data protection policies.

Box Spoke updates

For teams relying on low-code, automated efficiency, the Box Spoke for ServiceNow Integration Hub remains one of the most widely utilized spokes in the ecosystem. We’re expanding its core capabilities to bring deeper AI features and richer collaboration layouts into everyday business operations.

We’ve upgraded the Box Spoke to natively deploy Box AI and Box Hubs functionalities directly within your workflow builders, completely eliminating the need for custom code or manual scripts. Administrators can now trigger automated Box AI actions (like running immediate risk assessments or formatting structured data fields) the exact moment a file is uploaded via a ServiceNow process. 

Box joins the ServiceNow Knowledge Center

Building a reliable internal knowledge base can take weeks of manually collecting, organizing, and validating content across multiple systems. With ServiceNow’s Knowledge Center and Box fully integrated, organizations can turn existing content into trusted knowledge faster. The integration brings together information stored across disparate data silos, making it easier to create high-quality knowledge articles, FAQs, and support documentation.

By using Box as a content repository, ServiceNow’s Now Assist can securely read, analyze, and convert existing product documentation, standard operating procedures, and company policies directly into actionable, structured ServiceNow knowledge articles. The result is a single, continuously updated source of truth that reduces manual effort and helps support teams find accurate answers faster.
