In the past few quarters we’ve seen numerous examples of companies going all in on AI adoption, only to discover that they blew past their projected usage budget and have to recalibrate. As enterprises seesaw between tokenmaxxing and kneejerk tokenminimizing, a clear gap has emerged in this new AI-powered world between understanding AI’s benefits and understanding its usage patterns and forecasting the resulting cost.

Introducing Admin AI Insights

Admin AI Visibility is a new tool that expands on our existing administrative insights and reporting by adding a detailed report on AI Unit consumption and a robust AI usage dashboard to give admins the ability to monitor and analyze AI activity throughout their enterprise. This new insight is available to all organizations using Box AI, and can be viewed from within the Admin Console. It includes a number of detailed charts for monitoring exactly how AI Units are being consumed within your organization, including:

  • AI queries over time: A great chart for checking overall adoption trends for AI within the organization.

  • AI usage by product: A chart enabling admins to identify where the AI Units are going and which tools are being most leveraged.

  • Top agents by usage: A breakdown of AI usage by agent, both chargeable and non-chargeable, helping identify the most popular or expensive Agents.

  • AI Unit usage over time: A critical chart for budgeting AI Units and identifying potential upcoming overages.

  • Top AI users: Highlights top AI users and can help identify and mitigate inefficient AI usage.

There are two major areas in which Admin AI Insights will help AI administrators improve your organization’s AI Unit tracking and resource allocation. 

  • Better budgeting/forecasting: Greater visibility into which users and functions are consuming AI Units and why will help your organization adjust AI Unit usage to be in-line with your monthly budget. You’ll also prepare more efficiently for new AI deployments by expanding tool availability, adding new workflows, referencing historic patterns and anticipating future consumption rates.

  • Increased usage transparency: A consistent concern around AI adoption stems from introducing AI workflows while maintaining compliance. In particular, monitoring and controlling where AI is being used and who is using it. By providing deep insights into usage patterns and breaking down AI consumption across a number of metrics, Admin AI Insights will help compliance-minded admins identify potential issues more readily and regulate usage more precisely.

Insight enables optimization: a typical AI Admin Insights workflow

A company decides to try out Box AI. For one quarter they run only a small group and monitor usage to get an idea of budgeting before opening it up to the wider organization. 

After a month or so, the admins who monitor the dashboard notice an unusual uptick in usage from the Product team. They do some digging and learn the team is using AI to prototype products in a way that uses tons of tokens. They work with the Product team to identify a more efficient model and add guidelines on usage, reducing token spend without impeding productivity.

A few weeks later they notice another surge in usage, this time in the marketing team, and soon learn that a subset of users created a new workflow that has massively accelerated and improved their content creation. The process is efficient and the benefits are well worth the cost in tokens, so the organization adjusts the budget accordingly and works to roll out the new process to the rest of marketing. 

Insight enables optimization. By studying token usage with Admin AI Insights, the org is able to grow its AI deployment, while focusing on the areas that drive the highest impact and reducing token waste. 

Audit trails: the next bend in the AI admin journey

While we remain focused on the core goals of AI deployment visibility and budgeting, those aren’t the only challenges organizations face when integrating these powerful new capabilities. Every technological advance brings new requirements and regulations, and keeping up with AI regulatory demands will require new visibility. 

So, following the launch of Admin AI Insights, we’re developing new AI audit trail tools to give companies the solutions they need to audit and report on how AI is engaging with their enterprise content. Tracking where and how agents access or create content is as essential to successfully integrating AI as managing token consumption, and Box will continue to deploy new, frictionless tools to make those efforts as easy as possible.
