Today, we’re excited to announce the Box Sign for Workday integration that enables organizations to seamlessly and securely send and manage documents for e-signature, right from within Workday. Box customers with Enterprise Plus and Enterprise Advanced plans will get unlimited secure e-signatures at no additional cost with Box Sign’s seamless integration with Workday Human Capital Management (HCM).
This upcoming integration enables mutual Box and Workday customers to address a wide variety of HR use cases involving documents that require employee signatures. These span things like:
- On/offboarding documents like offer letters, I-9 forms and separation agreements
- Formalizing employee actions such as benefits enrollments, annual policy acknowledgments, and training certifications
- Internal mobility documents including promotion letters and relocation agreements
This seamless integration brings together Workday’s platform and Box’s secure content and e-signature capabilities — streamlining document-driven processes initiated in Workday and enhancing employee experiences for our mutual customers.
As organizations grow bigger and the variety of documents requiring employee signatures increases, the costs associated with executing these documents skyrockets. Let’s take an example scenario: A 1000-person company sending just one document per month to their employees ends up spending $24K-$60K a year just for employee e-signatures (assuming $2-$5 per document).
For customers on the Box Enterprise Plus or Box Enterprise Advanced plans, this scenario will cost them exactly $0. Zero. Zilch. Nada. In fact, they can send as many documents as they want to their employees at no additional cost, right from the Box Sign integration within the Workday platform. Let’s take a deeper look. The Box Sign for Workday integration is designed for busy HR professionals who handle HCM workflows in Workday. Beyond the cost benefits, this integration empowers them to manage the entire document lifecycle — from initial distribution to final signing and automated storage, without ever leaving the Workday platform.

Here’s how the integration works:
- HR personnel can initiate signature requests directly from Workday via the Distribute Documents task
- They can also address bulk sending use cases, like distributing policy acknowledgement forms, annual benefits enrollment, and more, that require sending a single document to multiple recipients at once
- Recipients receive a Workday task that launches Box Sign for them to review and sign, with signing status reflected back in Workday
- The signed copy is attached to the recipient’s ‘Personal Documents’ in Workday for immediate reference while the original signed document and complete signing log is stored on Box

This approach preserves the Workday experience while leveraging Box as the secure content layer, throughout the process, for seamless recordkeeping and auditability. This significantly accelerates hiring, onboarding, and compliance processes while maintaining the rigorous security standards that both Box and Workday are known for.
The Box Sign for Workday integration is expected to be generally available later this month to joint customers of Box and Workday. Customers will need to be on a Box Business plan or above and have Workday HCM installed.
- Customers on Box Enterprise Plus and Box Enterprise Advanced plans get unlimited signature requests at no additional cost, when using the integration
- Customers on Box Business, Box Business Plus, and Box Enterprise plans have 100/150/200 documents/year respectively included in their plans and can purchase more documents as needed
