Just What You’re Looking For: New Advanced Search Filters

As you add more files on Box, we know it can sometimes be a challenge to find exactly what you’re looking for when you’re in a hurry. That’s why we’re constantly working to improve the search experience on Box, incorporating the feedback we get from users like you.

Our latest search update, out today, definitely one-ups the previous ones. A few months ago, we significantly improved quick-search performance and placed the search bar front and center on the web app. Today, I’m excited to share that we’ve also added advanced filters that let you quickly drill down on your search results and bring up the exact files you need.

Filter by just about anything

While you’ve always been able to decide whether to search within your entire account or just within a specific folder, we’re giving you even more choices. In order to narrow down your search, you can now quickly filter results by:

  • Type of content – Get back a list of folders or specific file types, such as audio, document, drawing, image, etc.
  • Folder – Filter results by the folder that the file may be in
  • Date – Look for documents updated on a specific date, or in a certain date range (before, after or between)
  • Content – Filter by where the text may be, such as content, name, comment or description
  • Sizes – Filter search results by document size
  • Owner – Filter by documents or folders owned by a particular individual

Easy search experience

Most users tend to search by folder and file type, so those filters are conveniently displayed by default.  Additional filters can be added by simply clicking the + button and selecting a new filter. Once you define the filter criteria you want, an Apply button will appear. Just click that button, and we’ll automatically filter the standard search results to focus in on what you’re looking for.

If you notice something is missing or need to make changes to the filters, just update the criteria in the search filter bar and click Apply again.

Save your searches for later

An already useful Box feature that is now even more powerful with the addition of advanced search filters is bookmarks. If you find that you often use the same search filters to find something, like all files uploaded in the last week, you can now save that specific query as a bookmark. No more recreating complex filters for your common searches.

If you haven’t yet used bookmarks on Box, or just need a refresher, here’s how it works. Simply conduct your search, and then copy the query URL listed in your browser into your clipboard. (All of the search terms and filters are already added into the URL.)  Then, go to your All Files page and click the +New button. From there, select New Bookmark, and paste the URL into the address field. Add a name and description, and click Okay. Now your preferred searches are just a click away from your All Files and Folders page. If you’d prefer to keep your bookmark in a certain location, it’s easy to move it to a specific project folder, too.

Keeping it simple

Though we’ve added a lot of features, we’ve done our best to make sure that the basic search experience hasn’t changed. Does the basic search work just fine for you? Great! No need to start using the optional filters. But if you’ve been itching for a way to narrow down your results, we hope that this update makes it easier for you to do so.
